1. Start with the customer
Create one reliable customer record with the contact information and address you actually use. Avoid creating a new spelling of the same customer for every visit.
2. Give each piece of work a job record
A job record should identify the request and remain useful after the first conversation. Separate distinct pieces of work when they have different visits, scopes or payment trails.
3. Record where and when
Keep the job address, date and time together. Confirm whether the customer address and work address are the same.
4. Write useful descriptions
Describe the requested outcome, access information and important constraints. Avoid descriptions such as ‘job’ or ‘repair’ that will mean little tomorrow.
5. Decide what is scheduled now
Do not treat every enquiry as a confirmed appointment. Distinguish work that needs pricing, work awaiting a customer decision and work with an agreed visit.
6. Use statuses consistently
Choose a small set of status meanings and use them the same way. Scheduled, in progress, completed and cancelled are useful only when you update them.
7. Keep photos with the work
Attach relevant before-and-after photos to the correct job rather than leaving them in an unlabelled camera roll. Respect customer privacy and only retain what has a business purpose.
8. Connect quotes, invoices and payments
Keep the accepted price, issued invoice and payments traceable to the work. This makes it easier to answer both customer and financial questions later.
9. Record job-related expenses
Where useful, connect costs to the job that caused them. Keep supporting evidence according to the record-keeping rules that apply to your business.
10. Review tomorrow before finishing today
A five-minute review can reveal missing addresses, unconfirmed times or work that needs materials. It is easier to solve those gaps before the next morning.
11. Job-organisation checklist
Practical checklist
- Customer details are complete
- Job has a clear description and address
- Date and time are confirmed where scheduled
- Current status matches reality
- Quote is linked or retained where required
- Photos are stored with the correct job
- Invoice, payment and expenses can be traced
- Tomorrow’s work has been reviewed
